A therapeutic adventure retreat company are looking to hire a Project Coordinator and Team Assistant to join their expanding team.

Overall Purpose of Job: To support the Founder of the business with general EA tasks from diary management, travel bookings and meeting arrangements. This individual will also work closely with our whole team supporting them operationally with administrative tasks, retreat organisation and logistics.

It is essential this person is proactive with their work, uses their initiative, is able to problem solve, is practical and actively willing to improve existing processes. This person will wear multiple hats and therefore will need to be brilliant at multitasking, whilst willing to get stuck in and be flexible with their role. This person must be based in the UK, able to work efficiently remotely but with the ability to meet with the team in London monthly.

A huge advantage would be for this person to have strong networking skills as a possible representative of the business to prospects and new clients. We may host networking opportunities in London and this person will be required to step in and support from a business development perspective from time to time.

Team Assistance / Project Coordination
• Support the team in a project coordination capacity with regards to retreat preparation and organisation
• Assist the team with logistics and bookings related to retreats
• Research accommodation for retreats
• Research suitable suppliers for retreats
• Support the lead retreat Curator with pulling together key documents for the retreat (Ops Folder)
• Flight, taxi, hotel and meeting room bookings
• Associate liaison relating to onboarding and retreat coordination
• Manage Associate onboarding, including managing service agreements and qualification matrix management
• Update financial trackers as and when purchases are made
• Maintain positive vendor relationships
• Place orders with suppliers

Internal Ops
• Manage team, associate, and client birthday process
• Support the Client Director with gift purchases for clients
• Support the COO with project management and project development tasks
• Minute taking in weekly calls/meetings
• Support with associate gathering arrangements
• Coordination of PCR tests and covid related items
• Uploading and managing documents within Docusign
• Usage and maintaining tasks within Asana
• Usage and maintaining client profiles in Pipedrive
• Update Google Drive with documentation

Business Development
• Represent the company as someone who embodies the same values and believes in the concept
• Attend the occasional small gathering/networking opportunities/evenings hosted by EAC for prospects and engage with potential new clients
• Alongside the team, come up with new and exciting initiatives to bring new clients into the business
