JOB PURPOSE
Reporting to the Director, Artists & Entertainment relations, this role will support the department to execute special VIP projects occurring both within and outside of the usual marketing calendar.
Operate with a strong focus on logistical work, striving for operational excellence.
RESPONSIBILITIES
Collaborate with the Director, Artists & Entertainment Relations on creating VIP special project calendar annually, capturing the deliverables across each project in order to understand and bring together teams and decision making according to each project scope.
Own VIP special project related processes and communications, spanning everything from the initiation of each project to release.
Create and manage all project timelines and briefs liaising with internal teams such as design, PD, creative, marketing, etc. Communicating deadlines, budgets, and approvals accordingly.
Manage all content needs ahead of VIP events and projects, liaising with necessary internal teams on deliverables and timeline. Handle the distribution of assets throughout the content capture process, ensuring the final delivery is made in the agreed upon timeframe.
Responsible for briefing and actioning the VIP design and PD team aligned with critical path for each VIP project. Managing all design handovers, flagging and advising on design-related issues that arise throughout the development process.
Manage VIP design studio budget and track spend across each special project. Handle all admin for VIP design studio including shipments, couriers, raising POs for payments in SAP and Ariba.
Support with seasonal fashion shows, international brand events (occasionally involving travelling to these locations) and the Met Gala. Responsible for coordinating all VIP fitting and design team logistics.
Responsible for understanding project status and giving a full overview when requested at any given time
PERSONAL PROFILE
Strong experience of working in a communications or marketing team at a mid-senior level with clear ownership of projects and driving own agenda
Excellent project management skills, experience of shaping new processes and frameworks
Ability to identify efficiencies in process and ensure optimal ways of working
Excellent time management and ability to use your time where it adds most value
Hold first class interpersonal skills – especially meeting management, facilitation, presentations and written communications
Experience using SAP and Ariba preferable
Experience in luxury fashion project management would be useful
Experience of working under pressure in a fast paced environment helpful
