As well as demonstrating a real thirst to understand the business and develop healthcare communications skills, the AAE will play a key role in the smooth running of client accounts, with their main responsibility to provide administrative and logistical support. The AAE will be expected to be a true team player, embracing tasks with enthusiasm and a ‘can do’ attitude. Their aim over time should be to build confidence in taking ownership for the smooth running of designated projects. As the AAE progresses they will be expected to start to develop an understanding of basic skills and processes (with an emphasis on media monitoring and reporting), relationship building and event management required in the healthcare communications industry.   Contract length: 6 months
Job Description :
Core Responsibilities
Account Administration
  • Build an understanding of the client, their products, PR & Communications programmes and objectives, for each project in the programme
  • Set up, develop and manage effective account team administrative procedures
  • Ensure meeting rooms are prepared in advance and organise refreshments
  • Take responsibility for filing and storage of client materials
  • Prepare forms to open HSO client project codes & supplier POs
  • Assist with budget management by ensuring all costs are accurately captured in the budget trackers
  • Administrative support for new business opportunities
  • Provide general office and administrative support as required
  • Take responsibility for forward feature tracking and maintenance of up-to-date UK and international media lists (as appropriate)
  • Take responsibility for media monitoring and preparation of media reports
  • Ensure all written communication is of the highest quality (good grammar; spell-checked)
Event Management
  • Organise the logistics for external national/international meetings e.g. researching and booking venues, accommodation, flights and transfers, and manage supplier relationships, including confidentiality agreements, confirmation of terms and conditions and ongoing liaison
  • Create tables, charts and other documents to log all logistical information and keep up-to-date at all times (including event flow)
  • Prepare briefing documents for all relevant parties e.g. speakers, film companies, other suppliers
  • Provide office support for account teams attending off site events and take responsibility for ensuring each team member has a comprehensive pack containing all relevant information to allow them to resolve any on-site logistical issues outside of office hours
  • Organise press packs and printing materials for events
Communications (PR, Advocacy and Medical Communications)
  • Read the press regularly and develop an understanding of how to target different types of media outlets (online and offline) effectively to achieve coverage
  • Develop an understanding of how press materials are tailored to different types of media
  • Undertake background research to support account teams as required
  • Develop skills for identifying relevant opportunities within the media
  • Develop proficient writing skills and prepare in draft supplier briefing documents and press materials, e.g. media invitations/alerts, speaker biographies, feature outlines and backgrounders
  • Participate and contribute to the generation of creative ideas & platforms
  • Generate content for different platforms and audiences (Medical, media, client, social, etc)
  • Prepare key client update correspondence – contact reports and monthly status reports, and develop minutes from face-to-face client meetings
  • Develop sell-in pitch points and contact journalists to achieve coverage. Aim should be to begin developing solid relationships with key media contacts to leverage in future outreach/events
  • Identify and secure journalist attendance at events
  • Attend industry networking events and media briefings to gain an understanding of publications and what they look for in a story/feature
Relationship Building
  • Interact with clients and respond to requests
  • Build professional relationships with external suppliers e.g. designers, Flightline, film production agencies, etc
  • Build a rapport with journalists to assist with media sell-ins
  • Act as a team player within the HSO team
Industry Awareness
  • Start to develop an understanding of the NHS/international health systems and broader health environment, and utilise growing knowledge towards the implementation and development of client and new business programmes (UK and global)
  • Familiarise yourself with the pharmaceutical industry and external environment
  • Keep updated on the ABPI, PAGB codes and MHRA and other regulatory bodies that impact on client business
  • Regularly read international industry and healthcare/consumer titles
  • Keep up to date on consumer industry freelancers and which publications they regularly write for
  • Keep up to date with the relevant columns in consumer magazines so features can be pitched in accordingly
