Ocado Creative & Branding is an ever-changing, fast-paced creative studio built on agency lines.
Due to Ocado’s strong ongoing growth, we are building a new Creative Operations team, containing four new Delivery Manager roles, each managing a work pod and reporting into a new Creative Operations Lead.
Collectively, you will be responsible for the efficient running of all projects and processes across our large creative department.
As one of the Delivery Managers, you’ll oversee day-to-day workload for a work pod. You won’t line manage the creatives in our pod (our creative leads will do that), but you will scope and schedule projects; build relationships with stakeholders; ensure the correct skillset is assigned to each project; manage project flow and ensure that pod members have everything they need to deliver a stack of high-quality work across multiple channel
You will also be responsible for measuring what matters in your pod, compiling and sharing regular reports on key metrics, using timesheets and other data as required.
Stakeholder liaison and management
Understand business priorities and upcoming workload for your pod.
Be a key point of contact for the business on the status and progress of projects in your pod.
Show stakeholder management skills, with the ability to confidently manage upwards and positively influence your stakeholders.
Build and manage respectful, trusting relationships with internal and external 'customers', ensure that we are meeting their needs, and that they are satisfied with work done.
Provide visibility of work progress for your pod, keeping brief owners and other stakeholders informed about any changes to project status.
Forecasting, planning and reporting
Use planning and forecasting tools to organise your pod’s workload and report on time and resource spent on projects.
Work with head, leads and producers to assess resource needs for your pod, and act as a point of contact for hiring resource.
Capture, manage and track change requests for your pod.
Capture, manage and track the flow of work into your pod.
Set up full project plans where needed, including objectives, milestones, priorities, team, calendar and nature of deliverables
Proactively recognise internal creative needs or project risks.
Monitor pod team hours against budget.
Champion process improvements that lead to increased productivity and better resource management.
Monitor project risk on an ongoing basis, escalate issues as needed.
Maintain constant knowledge of current and upcoming projects and business development activities as they relate to resourcing.
Monitor day-to-day project activities.
Manage utilisation of team members in your pod.
Responsible for analysing and managing operational processes for your pod, such as workflow structure and timesheets.
Ensure timesheets are completed on time for your pod and use this information to detail the time and cost of projects.
Arrange regular meetings with the department head, Creative Operations Lead, and creative leads to discuss current and upcoming work and discuss resource requirements for your pod
Traffic and workflow management
Manage the creative workflow, ensuring the smooth running and timely delivery of projects in your pod.
Manage the backlog of work in your pod, working with the Creative Operations Lead to allocate resource according to priority.
Manage assigned projects and ensure successful project completion against deadlines.
Monitor staffing and resources against assigned projects in order to meet project deadlines and budgets.
Keep project status reports up to date.
Monitor and manage project constraints for your pod (schedule/scope/resources).
Hold regular stand-ups with your pod to ensure that deadlines are communicated and that any potential problems are picked up.
Ensure that projects stay on track, are accurately carried through the creative process from concept to final output, and oversee the timely sign-off of all work, including any internal and external deadlines.
Demonstrable experience working in ecommerce or a digital-first agency.
Demonstrable track record of successful resource and/or project management.
Demonstrable experience setting up and maintaining resource booking, collaboration, and resource reporting tools.
A sound understanding of how creative and digital content is delivered.
