We are looking for an Executive Assistant to contribute to the successful growth of the business. You will report to and support the Creative Director.

While juggling multiple essential requests across the team, the Executive Assistant must be meticulous, highly organised, and have the ability to meet tight deadlines. As an experienced planner, you will demonstrate the ability to respond quickly and efficiently, while maintaining flexibility. The individual in this role must understand our goals, be able to proactively anticipate needs and drive improvements. You will be able to perform complex tasks quickly, respond to situations that require a quick turnaround with the appropriate urgency and take action proactively. We're looking for someone with a creative mindset who can bring best practices and innovative ideas to this role. You will have experience working in a fast-paced, high energy and service driven environment.

SOME OF WHAT YOU’LL DO
  • Plan and organize meetings and events, including agendas and presentations.
  • Communicate information and minutes of meetings to internal and external parties and assist in managing deadlines for actions by liaising with them
  • Research and source required information on potential partners. Communicate and liaise to build recommendation reporting.
  • Play a leading role in establishing best practices for onboarding new starters and coordinating their onboarding
  • Assist with essential business projects, read materials sent to the Creative Director and digest accordingly. Support with tasks that are to do with the business as a whole.
  • Managing diaries and correspondence to identify priorities, and coordinating arrangements in a prompt and efficient manner.
  • General understanding of health and safety, human resources procedure, and the basics of public relations, such as how to deal with the press.

WHO YOU ARE
  • You will have a background working in a fast-paced environment, preferably as an EA.
  • You will have experience working in a PR agency/Sourcing Assistant/Editorial Assistant.
  • You can communicate effectively at all levels of the business, especially at the senior level. You will have excellent writing skills to communicate effectively by email and produce high-quality correspondence.
  • You have the ability to manage multiple tasks simultaneously, respond to work with urgency, understand deadlines and have the ability to prioritise.
  • You are creative, solution-oriented and have a great eye for detail.
  • You are proactive in understanding the business offering and the business structure to anticipate issues and needs.
  • You know how to manage your time, fulfilling any ad hoc requests while fulfilling your normal daily responsibilities.
  • You have the ability to produce good quality images on iPhone (professional camera not necessary) as and when required.
  • You are proficient in Gmail, and Google Workspace Apps
