Condé Nast is looking for a PA to support both the General Counsel and the Senior Policy Advisor. This is a varied position, requiring initiative, diplomacy, adaptability, discretion and an understanding of different cultures. Strong interpersonal skills and relationship management skills are essential. Exceptional organisational skills and a keen eye for detail are a must, along with a can-do attitude, willingness to learn and calm/level headed manner. You will also need to be able prioritise the needs of two senior managers in different departments.
About the Conde Nast Policy Team
The Conde Nast Policy Team is la small and agile unit led by the Senior Policy Adviser, based in our London HQ. The team advises and supports the Global Executive Leadership Team, works closely with the Legal, Communications, Marketing and Operations teams, and across all Conde Nast markets and brands.
About the Condé Nast Legal Team
The Condé Nast Legal team is led by the General Counsel based in our London HQ Office and is comprised of colleagues in London as well as our Legal teams based in our various markets around the world (USA, Russia, China, France, Italy, Germany, Spain, UK, Mexico, India, Japan and Taiwan). We are also supported by a network of outside counsel where necessary and work closely with colleagues in Advance Legal who provide legal counsel on corporate and trademark matters to Condé Nast and our parent company, Advance Publications.
Key Duties & Responsibilities
  • Support with inbox management where necessary.
  • Onboard new starters for the Legal and Policy teams;
  • Perform any other PA related duties or projects as requested;
  • Build relationships within Condé Nast headquarters and offices globally;
  • Assisting in the creation of presentation materials;
  • Liaising with a wide range of business and personal contacts including clients, senior executives within the organization and externally, restaurants and hotels;
  • Providing assistance on the planning and delivery of internal events and informal workshops. This includes support with speaker management and agenda development, responsibility for logistics and delivery.
  • Support the Legal Operations Manager with the operational aspects of legal processes;
  • Assisting with internal administration between Legal and other shared service departments (i.e. IT, Finance, Comms, Ops and HR);
  • Process all invoices and expenses for costs incurred by members of the Legal team.
  • Take responsibility for the safe custody and maintenance of all relevant electronic and paper documents, files, and records;
  • Maintain confidentiality and a high level of discretion at all times;
  • Process Senior Policy Advisor and General Counsel’s expenses;
  • Arrange, plan itineraries for, and coordinate travel, meetings and away days for the General Counsel and Senior Policy Advisor to ensure objectives are met, with the best use of time, and value for money;
  • Undertake research and collate information as needed in support of the work of the Senior Policy Advisor and General Counsel;
  • Ensure all mail and email is properly and efficiently dealt with, keeping track of issues that are pending and following up relevant responses;
  • Provide high quality administrative and secretarial support for the Senior Policy Advisor and General Counsel’s involvement in industry trade groups and numerous internal and external projects within the sector;
  • Act as a conduit for the flow of high level and sensitive information and use sound judgement and problem-solving skills when making recommendations regarding tasks, events, deadlines etc;
  • Proactively manage the complex and busy diary of the General Counsel and Senior Policy Advisor, ensuring that meetings and engagements are appropriately and sensitively prioritised and managed to meet the requirements of both the Press and the General Counsel;
Essential Skills & Requirements
  • A friendly, personable, productive and patient manner.
  • Extremely discreet;
  • Self-driven and motivated, with an ability to show initiative in all situations and the ability to take responsibility for actions;
  • Advanced G-suite skills and a working knowledge of Apple products;
  • Numerate, with strong attention to detail;
  • Excellent written and verbal communication, and interpersonal and relationship management skills;
  • Excellent grammar, spelling, drafting, writing and proof-reading ability, including experience with design and formatting of slides, presentation graphics and images.
  • Helpful to have experience of working in an international environment and building solid working relationships with teams across different countries, cultures, and time zones;
  • Confident and able to communicate with staff at different levels and across different departments internationally;
  • Support a variety of personalities;
  • Extremely organised with exceptional time management skills and able to prioritise efficiently;
  • Pro-active and able to use initiative and have the confidence to work independently;
  • Interest in Legal/Publishing desirable;
  • Experience in a similar role essential;
