The Role:
The Stylist Group, the award-winning cross-platform brands for intelligent women, is looking for a Sales Administrator to join our team. Reporting to the Commercial Systems Manager, the main objective of the role is to ensure the smooth-running of the sales advertising order process across our print and digital platforms. It will focus predominantly on our print offering and managing the availability and artwork process.
This role is pivotal to the success and efficiency of the commercial sales team. You will have responsibility for administrating the sales order process across all Stylist Group brands while ensuring high levels of accuracy and organisation.
This will involve liaising with the internal sales team and our clients, reviewing and processing sale orders from booking to completion, and becoming an experienced user of our booking system. This element of the role will support our financial procedures and ensuring these are adhered to across the sales team.
In addition to this, you will be responsible for ensuring print orders are flat-planned in our print magazine and all artwork is collated in time for weekly press deadlines. Excellent attention to detail is required to ensure artwork meets brand guidelines alongside our content.
Revenue and availability reporting for the sales team and senior management will be required.
Key Responsibilities:
  • Responsible for receiving all commercial advertising bookings and placing onto the booking system, Ad Depot. Check each booking adheres to commercial procedures prior to inputting on the system. Ensure campaigns contain correct finance and customer information and check required inventory is available and appropriate for the client. Check all bookings are sent in the correct format.
  • Liaise with clients when necessary to complete customer account set-ups. Provide finance information to accounts and request credit checks for account set ups.
  • Manage the shared inbox for Commercial Systems team.
  • Produce detailed reporting for sales and management including revenue reporting, availability reports and some sales analysis.
  • Hold weekly updates with Campaign Producers to confirm upcoming commercial content.
  • Responsible for providing CFO with weekly commercial updates for company revenue reporting and availability.
  • Assist Commercial Systems Manager with specific campaign requirements, pre-payments, credit checks, account set-ups and invoice queries. Support manager with reporting and new process requirements.
  • Work closely with Head of Agency Sales to assist with print budget management and provide updates on unsold positions.
  • Manage the production and upkeep of the Stylist flatplans. Assign advertising placements in the correct position and frequently liaise with editorial to facilitate press day.
  • Manage reserved and confirmed inventory closely to avoid overbooking.
  • Attend fortnightly print meetings to discuss current and upcoming paginations with editorial, sales and production and distribution teams.
  • Work with the Publishing Director to uphold Stylist brand guidelines.
  • Populate Stylist Loves email flatplans based on availability. Act as the point of contact for email availability for campaign producers, commercial, and editorial teams.
  • Responsible for liaising and building relationships with external designers to provide print display artwork for each issue. Ensure designers meet weekly deadlines and check supplied artwork meets technical specifications and follows brand guidelines.
  • Receive all artwork and upload files to our repro house.
  • Create a dummy book for each issue shared by editorial and commercial and submit final advertising to press.
  • Regularly liaise with Head of Print and Distribution regarding print production

  • Assist Insight Manager with TGI requests, providing insight analysis to sales teams.
