Geelong Outdoor Living Show, VIC

BossMan not only operates as a Media and advertising agency but also runs a very successful events branch of the business. As an event coordinator for BossMan I am heavily involved in the organisation of the events the company run each year.
The Geelong Outdoor Living Show is BossMan's flagfall event of the year. It as an expo that runs over three days with everything you need for life in the outdoors. The major categories of the show are Caravans and Motorhomes, Fishing and Boating, Camping and Accesories. In January this year I was apart of the show for the first time with it in its fourth year running. My responsibilities were vast and to begin with very daughnting and overwhelming. Along with the rest of the events team I pulled the event together from start to finish. We had over 14,000 people through the gates over the three days of the show and over 150 exhibitors selling their products at the show.
Project tasks - Events side:
  • Book the venue
  • Measure the venue for map
  • Design and draw map
  • Update Wesbite with Exhibitor form and Map as well as show information
  • Contact Exhibitors for first right of refusal on sitea
  • Invoice exhibitors
  • Book cleaners, electrician, entertainment, staff, generators, food, bins, fencing etc.
  • Online ticketing system organised
  • Early bird tickets and prizes
  • Source exhibitors to fill empty sites
  • Pack Trailor
Show Set Up:
  • Mark out grounds with spray paint
  • Exhibitor packs made and handed out
  • Exhibitors shown to their sites
  • Electrian to supply power to sites
  • Signs put up around showgrounds
  • Fencing for crowd control
  • Staff rosters made
  • Cash for ticket sales collected through money order and floats made each morning

Project Tasks - Media Side
I was the media account manager for the show so I took care of all of the advertising.
  • eDM's briefed to production and scheduled to both past exhibitors and past show attendees throughout the lead up to the show
  • New radio scripts briefed in and written
  • New radio commercial recorded
  • New TV commercial briefed in and recorded
  • TV and Radio Media Plan booked for both metro and rural Melbourne (Bendigo/Ballarat)
  • Facebook advertising lookalike audience planned
  • Facebook ad units messaging and creative briefed in
  • Radio pre times monitored each day
  • Flyers briefed in and designed
  • Facebook campaign monitored daily
  • Organic Facebook content calander planned and scheduled
  • Flyers printed
  • Show guide briefed in and designed
  • Show guides printed

Overall the Geelong Outdoor Living Show is a huge project run from start to finish by BossMan and their staff. There is an image of last years show as well as a link to the website and a first look of the map for the 2018 show to come in January next year.
