MSP - Agency Internal CMS

This project is about creating an internal content management system for agencies and their employees that would include all potential features and benefits from other kind of digital workspace in order to deliver a meaningful user experience. Every agency is facing the problem, at some point, of choosing the right platform for their employees. Every employees has different needs and the design of internal interface is often not designed based on their need and their tasks, but rather based on available technologies and budget. However, designing a common platform properly is crucial to ensure the well-being and efficiency of employees works. This is a tool that is used several times a day and that should be particularly engaging for the user.
This project followed several stages and has been redefined several times to better answer what was really needed on the market place. First of all, a competition analysis has been conducted to assess all the possible options are offered to an agency right now, from the Enterprise Social Network such as Slack to a more complete solution such as an Intranet. Literature review about specifics in designing internal interfaces has been complete to fully understand the issues related to this subject.
This user journey analysis shows the employees needs for an interface that gathers and organises all the different channels and sources of information into one platform. Other important elements include the possibility of giving credit to the publisher of an article by showing the source and encouraging sharing posts, of being able to quickly mark a post “as favorite” as well as creating a tag system to recall relevant information within a positive and clear look and feel.
Creating a task flow is a useful way to clearly visualise how the information can be structure and how the different content can interact with each other. This task flow has been created based on the previous user research and user journey and reflects the priorities and concerns expressed by the questionnaire participants. The main challenge in this structure has been to imagine a system where the relationship between the user own content is clearly separated as well as easily interact with external feeds on the interface.
The main objective in terms of design has been to create a functional and intuitive platform so that every user can easily see the interaction between the various sources of information, the contribution from their colleagues and their own profile. These interactions have the purpose of integrating the user’s participation within the agency’s flow of information and give him a sense of pride as well as providing a customizable structure to easily recall information related to work.
A design decision has been made to answer to these objectives, The page itself has been shaped by independent blocks that can interacts with each others. The page itself is separated in two parts. The left part represents the “outside” flow of informations , e.g. agency’s official announcements, newspapers and magazine articles, colleagues reviews etc.. The right part of the part shows the user own flow included all posts he-she marked as favorite.
Layers and shadows are used to separate “action block” through where the user can customized or interact with the interaction. For instance, adding new feed or new tags within the interface is manageable through pop-up windows appearing at the bottom of each list.
This project aim was to answer to specific needs agency’s employees might have by creating a content management platform to ease their interaction with the daily flow of information they have to deal with.
Overall, the aims and objectives have been achieved. The analysis of the user behaviours on digital work environment was really insightful and helped in creating a task-oriented platform.
