PA/ Office Manager responsibilities: • Supporting the CEO and CFO/COO in diary management, administrative duties and prioritisation • Providing additional support to the UK Commercial team • Managing multiple diaries and arranging meetings across various time zones • Organising global and domestic travel; including visa arrangements and itinerary planning • Management of travel and event budgets • Management of expenses for the CEO and commercial team • Producing documents, reports and presentations • Attendance of leadership meetings and conference calls to take minutes • Initiating and maintaining the company’s Health and Safety policy and procedures and appointed the first point of contact for any matters relating to Health and Safety • Qualified and appointed first-aider and fire warden • Devising and maintaining the office risk assessment and fire risk assessment • Responsible for coordinating and overseeing set-up for new starters • Leading and on-boarding new starter induction meetings • Liaising with the building manager and external suppliers Social Media/ Marketing Responsibilities: Responsible for all the social media channels, Twitter impressions increased by 8,000 during my first week in the role and mentions and followers have continued to steadily rise. • Manage the strategy, planning, scheduling, publishing and monitoring of social media content for the company’s social media accounts; most notably Twitter and LinkedIn. • Dealing with complaints and information requests as well as writing and posting company and marketing updates. • Using social media monitoring platforms such as HootSuite and producing weekly articles through Paper.li and Scoop.it. • Using analytical tools to monitor activity, such as Google and Twitter analytics. • Reporting and presenting marketing updates to the CEO bi-weekly. Responsible for coordination of events the company should attend. • Creation of the events and marketing calendar for each year; planning the travel and accommodation budgets as well as identifying the most relevant events for our company in the UK, Germany and the U.S. • As the company’s main point of contact I am involved in the end to end process; initial brainstorming of ideas, the ordering and arranging of marketing materials, through to the final set-up. • A successful example of the above is the management of our attendance at the Mindshare Huddle in 2015.
