Most recent temping role has been for Omnicom Media Group, who are a global leader in marketing communications, providing brand & advertising services to over 5000 clients in over 100 countries. My role here was based with the facilities team providing a high level of PA support to the Head of Facilities, Senior Facilities Manager & their team of 8. I also assisted IT Management team when needed with their complex travel arrangements & expenses.

Role & responsibilities were to oversee & manage the operational office & ensure that the company was compliant at all times to the industry standards & to their client’s policies. Payroll • Collating weekly timesheets & reconciling them against the VDQ diary system in preparation for processing. • Sorting queries with contractors, clients & the head payroll office. Compliance • Ensuring all registered candidates were fully compliant at all times as per Sentinel Scheme Rules & Network Rail Standards. • Right to work checks, Fatigue Management, On-site Audits, Updating contractors file information. Fleet Management • I sought out a new supplier for the company’s fleet needs & negotiated a package that was compliant for the FORS accreditation the company was seeking. Bronze FORS accreditation was secured after audit. • I was also responsible for the telemetry devices, DVLA Checks, weekly inspections, services & any repairs. General Office/Health & Safety Operations • Monitoring & ordering stationary/PPE/equipment stock, trouble shooting general office problems such as IT & facilities management. • PA duties to the Director and Operations Manager including diary management. • Inducting & mentoring new starters as per the company policies and standards. • Ensuring health & safety policies of the building were met at all times by both staff & visitors. • Working with the HSEQ manager to improve policies & procedures for the betterment of the company. • I was the Emergency First Aider and Fire Marshall for the office. Training Administration • Issue & complete booking forms for both internal & external assessments & competency training. • Organise class schedules with the trainer & clients. • Logging student’s results onto Sentinel & filing training paperwork as per NSAR standards in preparation for on the spot audits. Sentinel Management • Ensuring the 90-100 primary sponsored individual competencies were kept in date along with their medicals. • Sponsor/De-Sponsoring individuals & dealing with requested sub sponsorships from other companies. • Checking swipes on individuals in conjunction with the Fatigue Management policy, reporting any discrepancies back to the HSEQ Manager. Marketing • Running monthly promotions on social media to promote more business for Training. • I worked with the marketing team to make the website more interactive for the contractors & also I wanted the website to be a more effective way of issuing compliance bulletins as part of our HSEQ management. • Social networking for the business, updating the LinkedIn & Facebook pages regularly with compliance news.
