• Gatekeeping • Operating the central switchboard covering all 6 University of the Arts colleges and transferring calls to the correct department. • Liaising & forging relationships with other departments across the university to obtain and share relevant information • Managing mailboxes • Providing information relating to term dates, library open times, courses, staff members etc • Scheduling & distributing team rota • Organising internal meetings, writing agendas & taking minutes • Go to person for new starters within the team-arranging with IT for email accounts to be set up and with facilities for staff passes • Training new team members • Running statistics reports for senior management • Updating in-house database including internal online phone directory & switchboard database
• Scheduling meetings • Arranging travel (air & rail) and accommodation • Screening calls for the directors • Arranging catering for client meetings • Dealing with incoming and outgoing post including drafting responses • Reception duties
