Ensuring that key project information is disseminated within the team and to clients and design team members Maintain knowledge and manage of key project within the team Diary Management, arrange client meetings, internal meetings Ensure appointment documents are followed up and completed Working under the guidance of the office QA manager to ensure the procedures are being followed and enhanced where appropriate Organize and maintain Project info, details and contacts using our web based software project and document management system Assist with collation and issue of Tender and Construction information Liaise with subcontractors, Architects Organize travel, couriers, printing and checking invoices Assist with drafting and finalizing documentation - formatting to office standards and enhancing presentation Act as a point of contact for clients and other design team members Assist in maintaining HR records of the Team and Arranging Appraisal Dates and Times.
Diary and email management, arranging internal and external meetings Process daily paperwork, accounts payable, expense reimbursements, correspondence and agreements, routing material Match invoices to purchase orders and confirm receipt of goods, forward to accounts payable. Follow up on problem resolution related to incoming invoices, i.e. discrepancies in cost, goods invoiced and not received Arranging flights for Director and team members, organizing visas and hotels Coordinate document directories on network server and ensure organization has updated information
