-To ensure that all office facilities are functioning properly and liaise with services providers when necessary. -Liaise with cleaning staff to ensure that all office facilities are maintained to an excellent standard, in particular working with the lunchtime cleaning staff to ensure that the breakout area is: o Clean, tidy and rubbish has been cleared away, o Dishwashers are running / emptied when required. -Ensure staff requests are responded to in a timely manner. -Responsible for informing staff of visitors or outside contractors on site. -Distribution of parcels / packages from reception area to employees in the office -Moving furniture around break out area office space as and when required -Change and set up of break out areas as and when needed -Co-ordination of travel and hotel accommodation for staff and overseas staff when necessary within the Travel Policy, compliant with agreed authorisation processes -Arrange in-house refreshments when requested -Organise suitable venues for off-site meetings when required -Check meeting room diary daily in order to ensure refreshments available for external meetings -Assist Facilities Manager with Health & Safety monitoring and carry out workstation assessments for all new starters -In Facility Manager’s absence, carry out health and safety tours -Ensure the office space is generally presentable and tidy, particularly the communal and client facing areas e.g. meeting rooms, kitchens, main entrance and reception areas. -Ensure all the reception duties. -Benchmark and liaise with Facilities Manager new services providers agreements. -Updating fixed and mobile assets reports. -Provide Accounts Payable help to deal with suppliers. - Team EA - General manager EA as required - Events planner
