We are looking for a Studio Assistant for our London Design Studio and to support the Design team. This on-site role is a fundamental part of keeping the creative space running smoothly.



Responsibilities:


  • Act as a key point of contact for the studio, including in the event of an emergency.
  • Manage all site contracts - setting up and renewing them where needed to ensure the best service and VFM
  • Manage contractor list of trusted partners who know the site and equipment well
  • Ongoing maintenance of the building by managing contractors to attend the site to quote, carry out works and arrange payment
  • Manage and maintain H&S requirements of the site
  • Manage and maintain fire safety requirements of the site
  • Support workshop manager to align on the cadence of equipment maintenance and servicing as well as ordering and setting up subscriptions to consumables as required
  • Keeping the kitchen stocked. Managing regular snack, breakfast and lunch orders
  • Maintaining stock of stationery
  • Logistics as required to include shipment of packages within the UK and internationally. Managing incoming post
  • Travel bookings for the team
  • General administrative tasks for the whole design team including expenses
  • Planning for new starters
  • Welcoming contractors and visitors to the site and chaperoning, offering refreshments
  • Setting up and checking NDAs
  • Support in the onboarding of freelancers
  • Work with ops manager on budget and budget requirements for the studio
  • Manage the growth of the studio and manage minor works to support this
  • Support needs of team and visitors in desks, power, displays, internet access
  • Ensure meeting rooms and high-visibility areas are tidy every day, and ahead of visitors.


Requirements:

  • An organised person who is a good listener, and who appreciated the importance of running a pleasant and tidy creative studio.
  • Experience in property management desirable
  • Experience and desire to work in a fast-paced, creative space
  • Flexible and willing to travel
  • Strong English communication skills
  • Self-starter and ability to work autonomously
  • Able and willing to work onsite in central London location, 5 days per week (Monday - Friday)
  • Some basic budgeting skills are desirable
  • Great communication skills
  • A friendly and professional first point of contact who will represent the studio
