Job Title: Workplace Services Logistics Lead
A little bit about our team:
You will be part of a core in-house Facilities team, supporting approximately 800 members of staff across three buildings in West London (Kensington), and one building in East London (Shoreditch)
This is a truly varied logistics role centred around the provision of a highly professional level of service including reception duties, distributing post, portering, couriers, supply of stationery and ensuring that the facilities required by colleagues are available and they are supported seamlessly. This role is suitable for a professional and positive coordinator or lead receptionist who understands the value of customer service and the difference that this can make to their colleagues. You will be the lead for the logistics team and will implement processes for the rest of the team to put into practice.
This position will require being in the office 5 days a week. We believe that an in-office presence is critical for talent development, collaboration and building strong relationships.
Managing reception and front of house, ensuring a tidy and presentable entrance
Day-to-day management of post room
Administration of Starters and Leavers process with the FM team
Ownership and upkeep of UK wide phone list
Oversight of meeting room bookings and management of meeting room set-up
Managebuilding wide artwork inventory
Support in running Fire drills
Management of DSE system and dealing with DSE requests in a timely fashion
Liaise with account managers to set up new courier accounts, attend review meetings to assist with cost control
Reception duties
Post room duties
Assist with small moves and changes across London sites
Write and maintain staff rotas
Actively review and monitor all invoices
Organising temp cover for holiday and sickness
Write and implement processes for the wider team to follow
Computer literate including a good working knowledge of Microsoft including Word and Excel is essential. Experience in using Google Docs, Mail, Calendars preferable
Effective communication skills on the telephone, via email and face to face
Ability to provide routine oral and written information clearly and concisely, with excellent attention to detail
Ability to build positive working relationships with internal and external clients at all levels.
Proven track record of working in a customer facing environment is essential.
