My main duties include the managing of a work distribution, ensuring that my team of 6 have a full workload. This consists of regularly ordering files back from the offsite storage facility and then logging that their location has changed on our file management system. I have responsibility for carrying out detailed searches on the file management system for Legacy Casework Group and other members of staff, this includes using a variety of search terms to find files which assists colleagues in building legal cases. If there is a relevant result then I will recall the relevant file and log the location on the file management system. I will also assist in finding the relevant information within the file and flag this up for the lead official to consider. Colleagues from across the department have requested my assistance as they are aware of the high standard of the work I produce. This has extended outside of the department to the Cabinet Office and other departments.
I handle basic finance work such as processing invoices, setting up purchase orders and annual orders, I have recently adapted to a new finance system and done various training to learn how to properly utilise it. My ability to adapt and use a new system was noted by my line manager. I’m used to working under pressure and regularly have to prioritise my work and use my initiative to prioritise new work. My work often requires attention to detail such as ensuring that the correct names are taken out of documents for data protection and other purposes. I often use my initiative to question the appropriate person in the office on whether the information is accurate to take out or if I think something has been missed. Once again this standard of work has led to the aforementioned working with other departments and the Cabinet Office. If I find my workload too much or am unclear with my approach to a piece of work I will seek help or guidance where necessary.
I worked as a PA to both Special Advisors to the Secretary of State; I had to distribute emails on their behalf, print and prepare submissions for them to look over in their preferred format as they both differ. I would regularly have to relay messages of great importance and these would often be communicated via phone or email. I would often have to prioritise parts of their work for them whether it was due to them missing it or if there was a deadline they weren’t informed of.
This has led me to work to a high standard with minimal supervision and that the work I produce is always to a high standard.

I was in charge of creating digital booklets of their horses. This required me to photoshop images and collate them into a book which would be viewable on an ipad for their customers.
