● Provide secretarial services to the General Manager and to the centre’s members. This includes photocopying, scanning, binding, booking taxis, catering, etc.

● Prepare and frank all outgoing post and book couriers, for both national & international
deliveries and keep records for billing purposes
● Liaise with the General Manager regarding all expenditure to manage budgets accordingly
and process purchase invoices
● Monitor levels of kitchen, cleaning and office supplies to replenish in a timely manner
● Liaise with the appropriate suppliers, department or staff to control repairs, dilapidations,
maintenance and cleaning of the building
● Perform weekly building walks and fire alarm tests to ensure the building is Health & Safety
compliant
● Maintain and update clients’ records using Microsoft Dynamics NAV
● Manage new clients onboarding process: prepare and file all paperwork and joining
instructions, set up desks and work equipment, Wi-Fi access, office keys and key fobs

● Provide support to the Supplier Relationship Managers, Sales and Operations teams. Multitask between multiple brands to assist in the development of cost-efficient and profitable tour packages and bespoke projects for VIP clients
● Internal and external stakeholder relationship management and coordination. Act as the first point of contact for all projects. This includes managing the central e-mail inbox, dealing with complaints, responding to queries and providing immediate solutions on all issues regarding
operational matters
● Manage a high volume of sensitive data within the in-house database system, ensuring all
information such as contracts, pricing, client details, etc. are uploaded into the system and all
relevant parties are informed of any updates/changes
● Source and approach new potential suppliers and partners to develop new business relations
and obtain the best products and services
● Work with existing suppliers to negotiate the best costs prices to meet quarterly budget and
business objectives
● Restored business relationships with lapsed vendors and suppliers
● Observe and review suppliers’ liability insurance, safety procedures and incident reports to
ensure compliance and draft disclaimers for Travel Agents accordingly
