    JOB PURPOSE To provide a comprehensive level of administrative and organizational support to the Executive to ensure smooth and efficient running of the function. Acting on behalf of the Executive to take action and decisions in agreed areas of responsibility. RESPONSIBILITIES Partnering closely and working as a true right hand to the Executive Thorough understanding of departmental priorities and those of the Executive and using this to proactively manage the diary, requests and workload To act firmly and decisively, with charm, in managing both the Executive’s agenda and meeting schedules and to take decisions accordingly, while prioritizing the needs of both the Executive and the business Extensive diary management including daily management of scheduling and rescheduling of appointments, communicating with attendees, flexible approach to changing schedules, ensuring appointments are met and correct facilities have been booked. Ensuring the Executive is fully prepared for each meeting, providing background information and previous meeting notes for all external and internal meetings Build strong relationships across the stakeholder group - Executive Committee, Senior Leadership Team, Leadership Team, Exec Admin function and any relevant external committees Extensive travel organisation including flight, hotel, car bookings, applying for necessary visas for travel, research for the most cost effective travel options and production of detailed travel itineraries Processing expenses in line with company policy Review of direct report expense submissions before Executive review Maintaining required records for the team (travel, sickness, holidays) Coordinate and/or lead ad-hoc projects, as requested by the Executive Attend relevant meetings, taking notes as requested and distribute to attendees Ensuring Senior Leadership Team meetings, quarterly check-ins and review meetings are diarised within the correct timeframes and requirements Producing general correspondence to both internal and external stakeholders Ensure a VIP service for all guests Full inbox management including message review, flagging/highlighting, drafting and responding Handling IT and maintenance queries Organising events at the request of the Executive (team gatherings and global townhall meetings) Respond to and declare any external invitation and speaking requests Ensuring phones are answered politely, quickly and efficiently Opening and distribution of all post Support and manage the other PA’s within the department, including arranging weekly group meetings, individual check-ins, providing training and guidance, leading by example through best practice and ways of working.

Helping to identify new talent and uncovering original and fresh projects. • Taking, finalising and issuing notes of meetings. • Maintaining and updating the development logs and databases. • Handling the diaries of senior executives. • General running activities. •Organising meetings. •Diary management and scheduling. • Front of house duties when welcoming people for meetings. •Working with senior members of the development team, keeping their diaries/viewing/reading is up to date. • comments/feedback on material that we’ve been officially submitted, assessing its value within the current TV landscape and thinking about whether it could be a good fit for Lime to potentially bring onto their TV slates. • Booking travel. •Proofing new drafts. •Labelling and managing script.
