I provide full administrative support to the two impossibly busy Directors that run this award winning Design Company and ensure a happy and smoothly running design studio, motivating our team and valuing their needs. Involved in all aspects of the business, my role encompasses building; administrative; PA; HR; financial; project related and IT functions in a demanding studio to include, but by no means limited to: • Responsible for a consistently well-maintained and presentable open plan studio. • First point of contact for all visitors and all telephone calls to include client and supplier relations and new business enquiries. • Manage diaries; arrange meetings and book worldwide travel and accommodation. • HW’s first-aider: take charge in emergency situations and constantly assess health & safety in the studio. • Prepare workstations and fully induct new members of the team. • Maintain accurate and up to date employee records. • Support Directors with preparation and management of performance reviews. • Manage pension and life insurance schemes. • Manage attendance, absence and holiday. • Manage the leave procedure and process for any departing staff. • Authorising officer and level 1 user of Holmes Wood’s SMS. • Organise work social events and keep up team morale. • Update and implement studio’s HR policies, submit these as part of client tenders. • Order stationery and cleaning supplies at competitive prices and oversee contracts with utility suppliers. • Produce reports and statistical information as and when required. • Create, issue and record all client invoices and send gentle reminders to outliers. • Lead for all IT issues.
