As membership secretary I coordinate the organisation and management of membership services and events. I sustain a strong relationship with through traditional and social media, keeping them up to date with Club news and events. Requirements of this role include; • Co-ordination of a programme of national and international Club events including client and delegate liaison, logistical planning, monitoring budgets and managing event delivery. • Producing the Club’s Annual Dinner and Prize Giving events including venue identification, venue liaison, appointment of suppliers and production companies, monitoring budgets, marketing materials, logistical preparation and on-site event delivery and supervision. • Sourcing and negotiating with event suppliers to keep in line with set budgets. • Developing an interesting and varied lecture programme including sourcing and liaising with speakers. • Engaging with members and maintaining a strong relationship whilst monitoring feedback to ensure event success and membership retention. • Identifying, researching and developing new membership and event opportunities and delivering key initiatives within identified budgets. • Creating event marketing material for online events calendar, Club website, social media and email campaigns. • Administration and development of communication and promotional materials, through different a variety oof media channels, including digital, to support the strategies and plans defined for the specific event/club brand. • Creating and maintaining digital communication, updates and monthly e-newsletters. • Acting as the first point of contact for member’s enquiries and following up on all member’s queries. • Managing the joining process for new Club members and assisting them in completing the necessary criteria. • Assisting in Clubhouse bookings and requirements and daily operations of in-house events. • Liaising with the Club’s committee and attending and minuting quarterly committee meetings discussing new member applications, membership figures and membership events. • Implementing measures discussed in meetings and reporting progress to the Chairman of the Committee. • Maintenance of the membership database including creating and analysing membership reports.
Duties undertaken and skills built upon within this role included, • Development and administration of an innovative and exciting health and leisure programme. • Administration, promotion and supervision of events • Designing, writing and distributing monthly newsletters and updating the Centre’s website content. • Management and administration of a membership database, ensuring up to date, accurate and secure records. • Taking and monitoring membership payments and generating monthly reports to the operations manager. • Maintaining participant records, member relationships and internal communications. • Responding to and dealing with customer enquiries and complaints and answering incoming calls. • General upkeep of facilities including maintaining office supplies and updating notice boards.
This internship provided a great insight into public relations and allowed me to build upon transferable skills to take in to today’s professional environment. My main responsibilities included, • General administrative and communication duties and personal support for client account managers. • Newspaper and press monitoring for articles relating to all of the company’s clients. • Liaison with the marketing department with regard to client publications and coverage. • Press release and interview article archiving and organising press clippings. • Mail outs of press releases and marketing material whilst maintaining and updating media distribution
Throughout my University career I was actively involved with the University of Surrey Ski and Snowboard club which is a voluntary run club supported by the students union. I volunteered for two consecutive years on the club committee as a social secretary and as a secretary. These roles included, • Development, organisation, promotion and management of social and fundraising events. • Identifying and researching fundraising, sponsorship and promotional opportunities. • Liaison, negotiation and maintaining relationships with tour operators, entertainment facilitators and club sponsors for the planning and development of the club’s annual International ski trip. • Liaising with delegates on logistical queries relating to travel and accommodation. • Managing membership databases. • Providing website updates and creating out club newsletters. • Meeting organisation and minute taking.
