• Welcoming clients by greeting them, in person or on the telephone • Arranging couriers for members of staff • Diary management, including room bookings (Internal & external) • Sorting and distribution of post • Email correspondence • Administered all reservations, cancellations and no-shows, in line with company policy • Reporting any maintenance issues immediately to line manager, including all furniture, fittings etc.
• Assisting and supporting the gallery director at opening exhibition for Avital Sheffer • Supported logistics for delivery of art in UK and overseas; delivery/collection notes/invoices • Creating pricelists/cards for exhibitions to send to clients, and creating magazine adverts for future exhibitions (InDesign) • Creating stock lists for all current artists in gallery • Management of artist press books • Ad-hoc; paying in cheques on behalf of gallery and posting of catalogues to prospective and current clients
• Key point of contact between Director of Fundraising and core members of the fundraising stream, therefore possess excellent customer service skills and the confidence to work with a variety of people. • Providing administrative support to the Director of Fundraising; including diary management, expenses, invoices, subscriptions, travel arrangements, overseeing contracts. • Collaborate with head of major gifts and major event managers to ensure constant communication between major donors and Director of fundraising, whilst equipping the Director with targeted briefs for external meetings, charity events etc. Windsor Race night, Sunningdale Golf Day. • Respond to telephone, email and written enquiries from internal, external contacts as appropriate, so supporters’ relationship with CLIC Sargent is developed appropriately. • Assist with organisation of fundraising work stream meetings; including booking rooms, pulling together and circulating agendas, whilst liaising with Chair and Fundraising heads of staff, taking minutes and circulating actions. • Monitor and coordinate development of fundraising operational reports, budgets and business performance reports on monthly basis. • In charge of updating internal CLIC Sargent fundraising website and weekly fundraising newsletter ‘Celebrate & Best Practice’. • Ad-hoc logistics; Reception/PA cover, ordering name badges for fundraising team.
• Coordination of weekly team report; accounting for wins/losses/future deals. • Assist with organisation and attendance of team work stream meetings on monthly basis. • Create and distribute monthly staff satisfaction survey, analyse data and present to senior partners • Recruitment Management, including review & summary of future applicants’ CVs and organising process of interviews with senior management. • Maintenance of CRM database. • Created and distributed monthly team newsletter. Events Management and Planning • Proactive member of the Behavioural Science network Events as Community lead; corresponding and securing guest speakers, liaising with members of the Network, coordination of invitations, venue, post event dinner/drinks. • Coordination of team social event. • Organised logistics of team Alumni Event. • Coordination of team volunteer day.
