- Collaborating with the Finance, Operations, and Client Services teams to maintain our high standards for internal operations and project delivery across Europe, MEA and the UK
- Planning resource requirements, invoice scheduling, raising purchase orders, and analysing financial information to keep projects on track
- Amending quotes per project needs (supporting Client Services by adding or removing project deliverables to the scope).
- Supporting with project budget monitoring, flagging projects at risk of over-servicing to individual AMs/ Producers, conducting post-mortem budget reporting and documenting learnings.
- Overseeing monthly invoicing: including raising pre-payment invoices, scheduling future invoices, issuing invoices to clients and ensuring clients are invoiced on time and accurately.
- Raising purchase orders whilst monitoring and agreeing on margins with the Client Services and issuing them with the correct entity billing details to suppliers.
- Resolving any forecast-related issues, including write-offs for unrealised scope, and raising and issuing credit notes as per project needs.
- Being the main point of contact for accounts payable queries on invoice matching and the point of contact on accounts receivable queries on invoice amends.
- Managing resources in the agency work management platform while monitoring available budgets, monitoring upcoming utilisation, and flagging capacity concerns with relevant CDs and ADs to ensure high-priority tasks are scheduled for the following weeks.
- Maintaining proactive communication between teams and individuals to ensure Designers and AMs/Producers are on the same page by running the weekly schedule review meeting
- Ensuring issues and conflicts are resolved promptly by running daily project briefing calls, running monthly projects and quotes post-mortem checks and ad-hoc check-ins with each client services member in the UK, CH and FR.
