Working as a receptionist at the then-three star Holiday Inn London Wembley hotel gave me a wider sense of responsibility and insight into hospitality and front of house employment. I was often fending for myself on the front desk, attending to a variety of arriving guests, which included those staying for accommodation, and others that were just enjoying the lobby. I also had to greet corporate clients and Intercontinental Hotel Group (IHG) members to ensure that they felt valued. The role tested my multi-tasking attributes and the way in which I prioritised my tasks. I was responding to emails on computer, I had to answer incoming phone calls and deal with requests, queries and also reservation concerns and cancellations. I also provided in-person assistance at the desk too. All this while quickly getting familiarised with OPERA PMS and OXI Hotel software: an electronic system for reservations and maintaining my shift checklist. The experience included: - Greeting and allocating the VIP franchise members and corporate clients to their stay preferences, while adopting the pitch -which appreciates their IHG membership and continued loyalty, and asking them whether they preferred a drinks voucher or theloyalty bonus points. Thus, increasing loyalty recognition among our franchise members, as well as enrolling new members. - Handling online payments and supporting pre-authorisation documents from third-party accommodation sites, such as Trivago,Hotels.com, Booking.com and GroupOn. - Filing all invoices, receipts and accommodation registration documents in line with personal data handling measures, and disposing of any private, sensitive data as per guidelines, ie boarding pass print-outs etc. - Completing a credit limit prior to any shift, to ensure each departing guest hadn’t gone over their respective allowance. Ensuring the guest departures had been checked-out, checking new guests in and pre-checking the group bookings. - Answering, transferring and directing phone calls to the correct department, such as duty managers and reservations. - Calling housekeeping and the maintenance departments, following up to ensure they had carried out a given task, which would be logged on Quore. - Understanding the different forms of payment on the PDQ machines and Business Advantage machines, taking payments, carrying out refunds and handling cash. - Creating ‘walk-in’ bookings, by following procedure, ie identification card, a valid payment card with a pre-authorisation and a signature, as well as amending reservations.
