Role includes:
Team Admin
- Managing team's diaries; booking and rescheduling meetings on behalf of managers and external clients
- Arranging full and extensive travel itineraries for team incl. international and local travel and accommodation
- Ensuring all travel and subscription expenses are processed accurately and in a timely manner
- Compiling weekly and bi-weekly research documents for team meetings
- Meeting and greeting clients on behalf of Global Equity team
- Liaising daily with international offices
- Preparing temporary workspaces for international employees
Event coordinator
- Co-chair of the social committee
- Organising summer socials, Christmas socials, welcome/leaving drinks and various team building activities for the office
Office management/HR
- Onboarding new starters; preparing workspaces before arrival, ensuring relevant documents (passports/visas etc) are provided and documented no later than start date
- Going through health & safety, office need-to-knows and providing a tour of the office during first-day orientation.
- Maintaining stationery and kitchen stock levels, ordering new supplies as and when needed
- Liaising w/ and maintaining relationships w/ vendors
- Providing permits for all maintenance work in the office
- Processing and approving invoice payments through SAP system, ensuring vendors are paid in a timely manner
- Point of contact for ad hoc requests/queries regarding the office
