    Production & Licensing Assistant for Download Festival 2016, Electric Daisy Carnival 2016 and Creamfields 2016 • Support and assist the UK Managing Director and Event Manager in a senior administrative and personal assistant capacity across all aspects of the Executive Office. • Ensuring compliance and strong agency liaison for each event • Ensuring all infrastructure, contractors and staff are booked and arrive correctly • Working to a timeline for achieving tasks, targets and meeting deadlines • Writing and updating the Event Management Plan and associated appendices along with other key submitted documents • Assisting with the licensing of the event • Assisting with the compliance of the event with all licensing and legal obligations as well as all other commitments made and the implementation of policies • Assisting with strong liaison with statutory and non-statutory local agencies (eg police, fire, ambulance service, landowner, environmental health, licensing, building control, emergency planning, planning and Highways Agency where required) • Assisting with the planning of the event in relation to all licensing tasks including; traffic, orders and closures, land deals, security, event staff, disabled access issues, medics, fire, welfare, parking, information, etc.. • Preparing specifications for all infrastructure. This would include trakway, big tops, marquees, fencing, etc... • Negotiating and agreeing best prices for each contract using agreed rates under group buying deals where applicable, raising purchase orders and liaising with accounts over payment schedules. Keeping track of whether all purchase orders have come back signed • Sending out confirmation letters, purchase orders and relevant Health and Safety paperwork and ensuring that any additional documentation required as a condition of contract by the Licensing Co- ordinator is included • Collating and booking all contractors’ and staff requirements onsite • Ensuring all contacts for the show are updated and circulated throughout the planning process • Keeping the production schedule up to date throughout the planning process and ensuring all contactors and staff arrival and departure details are included on it as well as licensing conditions and agency meetings • Assessing and booking onsite and offsite accommodation • Liaising with sponsorship teams and bars / traders (including boutique camping) and ensuring their requirements have been met • Recruiting and booking staff for the production and licensing offices • Dealing with accounts queries – checking purchase orders, details of payments and agreed terms, investigating problems • Assisting with budget preparation and updating on an ongoing basis as delegated
