• Managing the two directors very busy calendars, liaising with account managers. Prioritising internal and external meetings accordingly. • Ensuring both Directors are kept informed of last minute changes of diaries and making sure they are on time for all meetings. • Working closely with the Directors on personal tasks. • Arranging all travel, both domesic and international. As well as booking accomodation and restaurants. • Keeping track of all expenses, both private and for work. • Client communication on behalf of the two directors, setting up meetings etc. • Management of the calendars for the office meetingrooms and in-house photo-studio. • Planning and arranging all studio outings and birthday celebrations. • Answering phones, greeting clients and visitors in a professional manner and keeping stationary and toiletries stocked. • Working with all Account Managers and Directors to update the extensive Client Christmas card list, ensuring cards and gifts went out smoothly and before the deadline.
• General upkeep of studio - Answering phones in a professional manner, ensuring stationary, client snacks and toiletries are stocked. Keeping the studio in prestine condition and being first point of contact for all visiting clients. • Organising and tracking all outgoing deliveries, UK and international. Keeping with tight deadlines and budgets. • Recording all company card and cash expenditures. • Responsible for all IT solutions. Setting up new phonelines, emails and updating computer software. • Ensuring all studio billable hours are logged on the internal system (Traffic Live). • Created a new stock log system for all production materials, ensuring this was continually updated. • Assisting Production Managers on various projects: sourcing items, contacting external suppliers etc • Booking travel for the Managing Director and completing any VISA applications and hotel bookings. • Assisting the Managing Director with personal tasks. Prioritising requests, running errands, helping with private functions etc. • Set up a new waste management system for the studio. Liasing with both the council and residential neighbours while contacting different waste management companies and comparing prices/services. • Planning all studio parties/drinks/events/birthdays and managing these budgets. • Sourcing, buying, wrapping and shipping a variety of personalised Christmas gifts to clients all around the world.
