Senior Events CoordinatorParagon, One Live Partner
London, United KingdomFull Time
I joined Paragon – an award winning, events agency specialising in dinners, incentive travel, and hospitality - in a sales support role. After a rewarding five months I was internally promoted to events coordinator where I joined the operations team and after another successful few months, I was then promoted to Senior Events Co-ordinator where my role included:
• Creating bespoke proposals for events. Including dinners, lunches, experiences, hospitality, and incentive travel. Proposals included costs with budget breakdowns, event information and aesthetic photos and trends reflecting the client’s brief
• On-site event management and pre-event set-up including communications and contracts with clients and suppliers
• Project and time management to ensure marketing and financial elements of events were in place and running prior to event to avoid missing or delaying deadlines
• Visiting new venues for site inspections as well as FAM trips promoting Paragon
• Cradle to grave organisation and management of events. Events and incentives, I managed independently included:
- Rugby Rooftop Dinner: A celebrity-hosted black-tie dinner for 200 PAX raising money for Wooden Spoon, held in London’s Sky Garden. Organising this event included menu tasting, meeting with AV and entertainment suppliers. Detailed CRM emails and communications with clients. Creating a thorough breakdown for the event so timings were stuck to as well as a script for Wooden Spoon’s live auction MC, John Inverdale. Management for auction payments and raffle. Controlling two Q&As with celebrity rugby guests throughout the dinner and leading the event breakdown at the end of the night.
- Lord’s Cricket Lunches and Dinners: These events were also celebrity-hosted and were held in the prestigious Long Room at Lord’s. Raising money for Chance to Shine, a cricketing charity. The events were for between 100 – 200 PAX.
- Incentive weekend to Montreux for 7 couples, 14 PAX, rewarding a client’s top performing sales individuals with a weekend of lunches, dinners, and activities such as helicopter rides over Lake Geneva. I organised the whole trip for the group including a solo trip to Montreux prior to the weekend to meet with suppliers and ensure the timetable of organised activities would fit the given timeframe.
- Celebrity-hosted Cricket nets experience with Sir Alastair Cook and Phil Tufnell at Lord’s as a prize draw experience for a top client.
- Cheltenham Festival: I managed Paragon’s hospitality in a course facing, 150 PAX box. Including, managing celebrity Q&A’s with Rachel Wyse and Mick Fitzgerald throughout the day. I ran the hospitality on the Thursday and Friday of the festival ensuring the event budget was being managed against wine orders etc.
- Monaco Grand Prix Day Trip: The day trip to the Monaco Grand Prix was run by myself and I was supported by a junior colleague. We were responsible for managing 30 PAX who we flew, on a chartered flight, to Nice for the Monaco Grand Prix. Hospitality was provided by Paragon in a hotel close to the circuit before racing, where guests sat in the grandstand. The flight back was the same evening and I was with the clients for the duration of the day ensuring their safe return and the full programme was delivered.
