    The Florence Trust is a not-for-profit arts education charity that provides a studio residency programme for a group of early and mid-career artists each year. My job involves managing the administration and day-to-day operation of the Trust, its premises, and its website and social media. Studios Administration Coordinating the administration and marketing of the annual open-call application process through website, social media and email newsletters, interviewing shortlisted artists, and selecting the final candidates alongside the Director. Processing all studio enquiries via telephone, email and in-person through studio visits. Planning and implementing the annual winter open studios and summer show exhibition, and liaising with the designer to produce digital and print promotional materials, including the annual summer catalogue. Using WordPress to update website with news related to the resident artists, exhibitions, and ways to support the Florence Trust. Organising and contributing to fortnightly group critiques, artists’ one-to-one discussions with trustees, events with external visitors, and a group trip to an art event outside of London. Carrying out artist health-and-safety inductions, serving as first point-of-contact for artists on a day-to-day basis in the studios, conducting on-site visits to ensure the safety and security of the artists, staff and building. Facilities Management Responsible for maintaining grade I listed premises, utilities contracts, overseeing work by contractors including annual portable appliance testing, lightning conductor testing, electrical inspections and gutter and roof clearance, and reporting directly to the Diocese of London and ecclesiastical insurers. Keeping service contracts up to date, including Safeguard, Smart Water and fire extinguishers. Providing health and safety contracts and sets of keys for all resident artists, alongside the health and safety induction. Ensuring the studios and building are kept safe, tidy and clean through on-site inspections. Finance Responsible for keeping track of studio rent payments and monthly bookkeeping. Presenting an annual projected budget and quarterly spending reports to the trustees. Responsible for meeting deadlines for reporting to Companies House, the Charity Commission, and submitting Gift Aid applications. Minute-taking for quarterly trustees’ meetings.

    (Full-time 2 years in Berlin, part-time 2 years in London) Studios Administration Responsible for overseeing the production process of artworks. Responsible for budgets and all administrative duties related to exhibitions, art fairs and commissions. Liaising with gallery managers and curators on the planning and production of exhibitions in institutional and commercial galleries. Recent exhibitions include: Assembly Point, London; Murias Centeno, Lisbon; Nomas Foundation, Rome; MOT International, Brussels; and Tanya Leighton Gallery, Berlin. Group exhibitions include Fellbach Triennial for Small-Scale Sculpture, Fellbach; and Centre Pompidou, Paris. Responsible for maintaining up-to-date inventory records of artwork information, history and acquisitions, and an image archive using FileMaker database software. Producing installation manuals and arranging artwork logistics for national and international shipments in compliance with customs procedures. Facilities Management Main keyholder responsible for the security and maintenance of studios in Berlin and London. Responsible for utilities contracts, overseeing work by contractors including electrical inspection and fire extinguishers, handling rental agreements for multiple properties, liaising with landlords and other artists and makers in the same building. Ensuring studio spaces and shared communal spaces were kept clean, tidy and safe. Finance Responsible for bookkeeping for all studio expenses in London and Berlin, and data entry of invoices and receipts. Producing invoices for consigning galleries and reports for accountants. Keeping track of all incoming and outgoing payments and meeting deadlines for VAT declarations and income tax reporting to Companies House. General Responsibilities Oversaw the production of the artist’s catalogue, Road Back to Relevance. Collated all works and installation images for the graphic designer and contacted past photographers for any missing images. Liaised with commissioned writers Dieter Roelstraete and Saim Demircan and the Secretary of the Wales Nicaragua Solidarity Campaign, Ben Gregory, on final drafts, edits and translations of texts. Compiled captions for the colophon and index. Responsible for keeping the artist’s CV and portfolio up to date, using Photoshop and InDesign. Liaising with photographers in London and Berlin to document new works. Hiring freelance assistants and technicians to aid with the production and installation process.
