Initially I was brought on as the Administrator and have since taken on the Bookkeeping responsibilities too. I oversee the smooth running of the day-to-day operations of the business such as maintaining stock levels, planning logistics and liaising between the entire team to assist as required. I have developed a good knowledge of our operational software ‘easyjob’ so I am able to book in jobs and resources, generate quotes, build load lists and create reports (as well as editing the construction of the reports where necessary). A big part of my job is the financial aspect; I am responsible for producing invoices, chasing debtors, inputting purchase invoices, creating payment runs, bank reconciliations and preparing the accounts for the annual audits by our accountants. We also undergo annual ISO and Safe Contractor audits which require a substantial provision of data including current insurance policies, fleet inspections and health & safety policies; all of which I ensure are kept up to date and are filled appropriately.
I was brought on board to assist with the launch of the VIP Club. My main role in the station was to look after the listeners. I set up databases to keep track of all the VIPs and for payments (PayPal, Direct Debit, Standing Orders, Bank Transfers and Cheques) for the VIP Club and made sure they could all connect, listen and access all the features. I also helped out with administration in the station office on a day to day basis, took minutes in station meetings and liaised with record companies and management companies when required. Attention to detail was vital to make sure our VIPs were looked after and remain loyal to the station.
One of my main duties was to keep the website updated with the latest gig information and artist biographies. I made sure that facebook, twitter and pinterest were updated with the latest information while engaging with the members of the community and helping to promote the artists who support our causes. I also attended the gigs to photograph them for the relevant sites and upload the gig reviews on the website.
I worked on a mobile site in facilitator stores taking family photographs. This involved working face to face with families and young children so a high standard of customer service was essential to make them enjoy the experience and to get the best photos which would help with sales. Then two weeks later I would visit the same store with a sales kit to sell the photos and accessories in a target driven way. This meant I was responsible for cash handling, banking and all administration for my sites. I was trusted to train new staff members on both photography and sales sites including set up, canvassing, administration, use of equipment, health and safety and sales.
