Salary: £27,800 - £37,800 depending on relevant skills, knowledge and experience. The expected salary range for this role reflects internal benchmarking and external market insights.

The BBC Proms is the biggest classical music festival in the world. We run over 100 live events over 2 months in the summer at the Royal Albert Hall in London and venues around the UK. Nearly everything we do is broadcast across BBC Radio, TV and online. We are a creative, innovative festival that connects with audiences around the UK and across the globe. You would be part of a dynamic team that looks after Live Events, Marketing, Learning, Communications, Publications and Business.
The Assistant Event Producer is a core part of the Live Events team in Radio 3 that delivers all the events for the BBC Proms season as well as some of Radio 3’s major events. Working closely with the Live Events Team Manager and Event Producers their main role is to help plan and co-ordinate the detailed logistics of Prom concerts through to the running of those events for live audiences and broadcast (Radio 3 and TV Music). They will report to the Live Events Team Manager and also work closely with the Event Producers who will task manage them for events.
To work closely with the Live Events Team Manager, Event Producers, Operations Project Manager and seasonal Assistant Event Producers on planning across the Proms season
To brief and work collaboratively with a huge variety of stakeholders (internal and external), managing a few of those key relationships
To manage specific Prom events (small & medium scale) at the Royal Albert Hall & other venues in collaboration with the Event Producers
To support the Event Producers on large scale live events
Be responsible for the production of key event paperwork - concert summaries, stage layouts, rehearsal schedules using the event database Artifax and stage plan package Visio
To brief and liaise with the Radio and TV broadcast teams on all matters relating to each allocated Prom
Be Concert manager for a selection of Proms ensuring the smooth running of the event on stage in conjunction with the broadcasts (Radio and TV).
To assist with managing the event budget for each allocated Prom
Be an Artifax superuser including revising the system, setting-up templates / populating concert info
To contribute to the full life-cycle of key overview systems / paperwork / processes e.g. seat holds, budget reconciliation, piano planning, production meeting planning, contacts.
Work with the Operations Manager on the season overview of Safeguarding and Access provision
To comply and implement all relevant BBC Safety Rules - producing Risk Assessments needed for events.
Are you the right candidate?
We’re looking for a positive team player who will work collaboratively as part of a small team and has/is:
An in-depth knowledge of how orchestras and choirs work.
Good experience in the organisation & logistical planning of live classical music events with multiple stakeholders.
Good attention to detail
Ability to work both independently and as part of a team to manage several areas of work at a time; prioritising, delivering consistently to deadlines and reacting positively to changes and conflicting priorities.
Good knowledge of the techniques of Radio & TV Music production and their output.
Ability and skill to liaise sensitively with Proms talent at all levels and a wide range of stakeholders
Good ability to problem solve, manage event timelines, negotiate and organise live events within budget constraints.
Good communicator able to motivate, and foster collaboration in a diverse team to deliver the live events successfully
Good understanding of Health & Safety regulations and matters relating to child protection.
Good knowledge of office IT packages. Ability to master new systems e.g. Artifax Event, Visio, Microsoft Teams
You will be required to work long hours and some weekends on events across the year – particularly over the duration of the Proms season in the summer. Some days each week during the festival will be spent working on site at events.
