UK Creative is a fast-moving department with a high turnover of short-form work. The department is responsible for creative output of Channel 5 channels. Content output ranges from promos, brand development through to packaging and high-profile multi-platform marketing campaigns for show launches.
The Production Co-ordinator will be required to support and liaise with the Senior Production Manager/Production Manager for daily production duties including planning of the day-to-day promo deliveries and creative workload. They may also be required to interpret projects and productions for the creative team from initial concept through to completion and TX in the most cost-effective way. They will ensure the budget, schedule and creative requirements are all met, and that the end product delivers on creative excellence. From booking voiceovers to offering production support on high profile shoots, this role is incredibly varied and requires strong multi-tasking abilities. The Production Co-ordinator will also work closely with, and support, the Head of Production with day-to-day tasks and requests and general running of the department.
Raising Purchase Order relevant to music clearances, post-production sessions, agencies fees, shoot production, voiceovers.
To liaise with the creative team and produce an accurate budget costings as necessary
Monitor day-to-day spend by project using appropriate departmental purchasing systems and cost managers.
Setting up new suppliers.
To ensure correct invoicing guidelines and deadlines are adhered to by suppliers and freelancers.
Adhere to company guidelines regarding production spend, expenses and T&E.
Maintain and update records of production activity and spend, overseeing departmental filing and Excel records.
Liaise with relevant internal departments in order to save money and conserve resources.

To work with accounts payable to ensure all external suppliers, freelancers and casual employees are paid correctly and on time.
Assist Senior Production Manager, Production Manager and Head of Production with cost management and cost reporting.
Assist the Snr PM with organising the creative weekly make list and production workflow to ensure delivery deadlines are met.
Ensure all projects are produced in cost- and time-effective manner while adhering to the creative ideals, negotiating fees and maintaining schedules where necessary.
Ability to adapt to the variable needs of different Creatives and drive projects forward
Flag any project overage to Snr Production Manager/PM and Head of Production
Plan and book all external post sessions and daily audio bookings.
Liaise daily with Voiceover artists’ agencies to book relevant talent for sessions ensuring the correct clearances are agreed.
Understand the business rationale and gain awareness of commercial issues influencing and affecting the business.
To maintain the departmental audio/edit schedules and calendars.
Monitor and ensure all promos/design are delivered according to makelist TX.
Support Snr PM/PM responsible with Clearcast submissions & TVC delivery
Oversee delivery of on- and off-air assets, liaising with media planning and marketing teams about required deliverables
Assist Snr PM/PM with shoot-based production as required – vendor set ups, contracts, PO raising, crew booking
Create call-sheets for filming as needed.
Under guidance of Snr PM/PM engage freelancers and negotiate rates and payments.
To have extensive knowledge of different freelancer/casual contract types and payment terms and engage as appropriate.
Assist with completion of Risk Assessment forms
Assist with travel arrangements
To have knowledge of different freelancer/casual contract types and payment terms and engage as appropriate.
Responsible for raising all contracts and ensuring completed contracts are returned to legal.
Update contract log, contact files and freelance contract files.
Work closely with Snr PM/Production Manager to ensure legal procedures are followed and necessary contracts are raised for all suppliers and freelancers.
Ensure relevant legal paperwork completed for all bookings, freelancers and projects.
Significant experience as a Production Co-ordinator, preferably in on-air environment or commercials.
Solid experience of shoot admin.
Experience of keeping accurate budgetary records/cost managers, reconciling budgets and using purchasing systems/raising POs.
Ability to produce a project schedule.
Experience of working within a department with a high turn-over of very varied work, such as on-air.
A personable manner with the ability to communicate effectively with different kinds of people, from crew to talent.
