Soho Farmhouse...
Surrounded by 100 acres of Oxfordshire countryside, Soho Farmhouse is a destination for food and drink, wellness and outdoor activities. Two hours’ drive or a short train from London, we have 114 bedrooms, including cabins, huts and farmhouse bedrooms to stay in, a state-of-the-art gym, Cowshed Spa, an indoor and outdoor pool and cinema. We have multiple food and beverage outlets on site, The Main Barn is the central hub, serving the club menu all day. On the mezzanine, Comfy Farm has sofas and an open fire place, while Fancy Farm is a more formal setting for lunch or dinner. The Role…
We are seeking an experienced Events Coordinator to join our team at Soho Farmhouse (OX7 4JS) on a 10 month maternity cover. At Soho House, the Events Coordinator is responsible for supporting the booking, supervision and realisation of private events for members at Soho Farmhouse. The Events Coordinator is also an ambassador for the Soho House brand and fully embraces our ethos, supports staff, member and guest experience.
Main Duties
  • Complete day to day administrative tasks to include keeping the event enquiries up to date, tracking enquiries and conversions.
  • Assist with collating event stationary such as menus, place cards and itineraries.
  • Assist with completing, checking and submitting the budget spec to clients and monitor event spend to ensure minimums are met without exceeding the costs beyond the client’s expectations.
  • Collating function sheets utilising the events booking system, TripleSeat, and distributing to the relevant operational teams.
  • Work very closely with the rest of the events team as a strong unit with the opportunity to support on larger events and site takeovers.
  • Assist with daily admin jobs assigned by the events team, i.e, send out weekly function sheets and updates to all departments and communicate changes accordingly.
  • Assisting with front of house operational tasks such as room drops, express check ins and hosting
  • Utilising the accommodation booking system, Opera to book and allocate rooms
What we are looking for in a Events Coordinator...
  • At least 1+ years of professional experience in a similar Coordinator capacity, either Sales, Events, Marketing, Customer Service
  • Excellent interpersonal skills and ability to build relationships (internal and external)
  • Strong attention to detail
  • Excellent customer service
  • Fluent in English
  • Organised and reliable
  • Ability to work and maximize relationships within a diverse team
  • Computer literacy within Opera, OpenTable, Micros and Adaco, TripleSeat advantageous
Expected working hours for a Events Coordinator:
  • Varying shift times across the seven days, to include working evenings, nights, weekends, holidays and open/ closes
  • Average hours 40 hours per week, Monday to Friday 9am-6pm.
  • Due to the nature of the role, you will be required to attend events and meetings which will fall outside of these core hours, therefore working evening and weekends on occasion.
