Job Description Summary :

The Facilities Manager is responsible for the planning and coordination all installations and refurbishments. S/He inspects buildings’ structures to determine the need for repairs or renovations.
Job Description :
Responsibilities.
This role is dedicated to the complete client experience at Havas helia Cirencester, putting a real focus on improving the quality of the experience from the office environment to the front of house staff, the food and drink and all touchpoints with the agency. Managing a team to ensure that the offices are presented to an exemplary standard. Ensuring infrastructure, activities and processes by staff, visitors and contractors are undertaken in a safe and healthy manor. This is a fast-paced role that will encompass everything from service delivery to health and safety and no two days will be the same.
  • Line management responsibility for admin & hospitality, front of house, maintenance, purchasing, security, cleaning and hospitality.
  • Responsibility for all purchasing and supplier relationships to ensure good value andquality of service including contract review and renewals.
  • Mapping all client touchpoints to make recommendations for service improvementsincluding phone, web, email, on-site.
  • Agreeing minimum service standards for the whole agency.
  • Ensuring that all areas look at their best all of the time, that employees support the agreed standards and that our creative work is up around the building at all times.
  • Ensuring that reception is a dynamic, welcoming and professional place at all times.
Health & Safety
  • Ensure that effective and appropriate Health and Safety policies and procedures are in place which meet legal requirements, best practice and organisational objectives.
  • Act as the Company’s Health & Safety Officer.
  • Maintain the Health and Safety management system.
  • Develop safe working procedures for contractors and employees.
  • Ensure building and procedural risk assessments are suitable, sufficient and regularly reviewed.
  • Organising training and provision of Fire Wardens & First Aiders.
  • Induct new joiners in Health & Safety, undertake DSE assessments, NEM assessments, manual handling and working at height training.
Management of contractors
  • Play an active part in the tender process and consequent selection of all building contractors.
  • Building project management from inception to completion.
  • Auditing risk assessments, method statements and insurances to limit liability.
  • Re-tendering contracts on a regular basis.
  • Managing and supervising of all contractors on site and ensuring that standards are met.
Building maintenance
  • Ensuring that the building fabric, mechanical and electrical systems are maintained.
  • Planning preventative maintenance and organising reactive maintenance.
  • Control of building maintenance budget.
  • Managing utilities contracts.
  • Managing contractors.
Security/Reception
  • Ensure the Hub is staffed during office hours.
  • Reception management.
  • Management of CCTV, access control and intruder alarm contracts.
CSR
  • Managing all CSR and environmental processes.
  • Reporting at a group level on CSR metrics.
  • Managing the transition to net 0.
Disaster Recovery
  • Participate as part of the team planning disaster recovery and business continuity
Office Moves
  • Organisation of office moves.
  • Managing procurement and relocation of office furniture.
