Working within the wider CA team of six, and in conjunction with our NY CA team, the 12-month FTC Client Accounting Private Sales Representative role will support the daily management of both the Debtors and Consignors Ledger regarding Private Sales and Selling Exhibitions for Phillips’ European and Asian and New York sales sites. Working closely with the Private Sales department, the role will manage all aspects of the Private Sale process regarding debt management, consignor settlements, and all related queries. This may be in the form of individual private sales or invoicing for Selling Exhibitions and other specific, non-auction sales, including Watch shops.
Duties and Responsibilities
  • Work closely with colleagues, Private Sales Department and business support functions to offer a seamless and pro-active solution to the Client Accounting function.
  • Create and issue buyer invoices, bespoke if required, following review of sales contracts.
  • Oversee and assist with the processing of payments for buyers and vendors in an accurate and timely manner.
  • Lead on debt management activities and all formats of buyer payments, allocation of funds and issuing of collection orders.
  • Review consignor contracts and enter charges and adjustments as necessary.
  • Settle consignor payments via Phillips’ banking systems in conjunction with the Client Accounting Settlements staff.
  • Support reporting and settlement processes for Artist Resale Rights and VAT for Private Sales
  • Assist with management reporting on cash flow, debtors and other ad-hoc reports as needed.
  • Directly support and attend non-London site sales as may be required.
  • Perform any other ad-hoc duties/special projects as requested.
Professional Skills and Experience
  • Minimum 2 years professional experience working in accounts payable and accounts receivable required
  • Experience within an auction house Client Accounts department, or similar environment is desirable.
  • Fluency in written and spoken English is essential.
  • Demonstrable knowledge of auction house VAT & Compliance.
  • Working knowledge of and experience with Excel is required.
  • Advanced Excel proficiency is preferred.
  • IT literacy and ability to work with ‘in-house’ commercial Finance systems (Gavel/NetSuite)
  • Experience with MS Office Suite and Outlook is required.
  • Bachelor’s Degree or equivalent work experience is desirable.
  • Bachelor’s Degree in Finance/Accounting, desirable

Working Conditions
  • Work is undertaken in an office environment, predominantly Berkeley Square.
  • Flexibility to work evenings/weekends as necessary as well as auctions or special events.
  • Must be legally eligible to work in the United Kingdom without sponsorship
