As an agency deeply rooted in Ghanaian culture, we were honoured to be approached by the government in 2010 to revolutionise the passport and visa system. Our mission was clear: improve efficiency, reduce waiting times, and enhance customer service. We wanted to create a system that was user-friendly and catered to individuals of all technical abilities. By leveraging our IT expertise and cultural understanding, we developed a simplified system that prioritised the customer experience without sacrificing important features.

To make this happen, we needed different systems to seamlessly interact. A secure payment platform, fast communication with local authorities, a centralised cloud system for applications, and streamlined passport and visa application pages were all essential components.

The result? An overwhelming success. The eCIMS system, also known as the Electronic Consular Information Management System, has been praised by clients, diasporans, and visitors alike. Our digitised approach has drastically reduced paperwork, saving both staff and applicants valuable time. Online application systems allow for easy storage, quick amendment, and efficient cross-referencing.
But it's not just about convenience. Security is paramount. Our electronic payment system has significantly reduced the risk associated with traditional in-person payments. With email receipts and confirmations, applicants can feel confident that their payments are safe. Our secure platform ensures consumer confidence remains high.

The success of eCIMS has spread across the globe, with Ghana Missions in the USA, Canada, Spain, Italy, France, Netherlands, and beyond embracing the system. We are proud to be in talks with other missions, as they seek to improve their own consular systems. And our work doesn't end there. We value feedback from both the public and administrators to continuously improve the user-friendliness and reliability of eCIMS.

eCIMS continues to undergo continuous review of the system via the public and the administrators to ensure the system is user-friendly and reliable. The mission reports a high volume of site traffic daily, estimating a volume of one million applicants being interacted with since 2010.
