What is the protocol for hiring freelance graphic designers?

My question is do we need an agreement or contract, do I have to pay before, etc? I want to do everything the right way and make it correct and easy for both parties. I want to create a system that is proper and easy since I will work with many. Any tips are appreciated. Thank you!

  • 1. Register as self employed.

    2. Create an invoice system with a bank detials (don’t forget your international banking detials must be included)

    3. Give yourself a day rate/hourly rate (say you are happy to lower your date rate depending budget)

    4. Find a talent agent or agency to represent you (not going to lie it’s taugh out there) This helps as some big compaines wont touch you unless you are reg as Ltd. That recruitment agencies are great as they reg Ltd.

    5. Send your portfolio to companies, studios with underlining that you’re looking for freelance work, how you could be instrumental to their company.

    6. Get familiar with NDA contracts, create a contract or email agreement with accounts team.

  • @Geoffrey Bunting Thank you so much! Having a set professional leval here (KSA) is very new as the country is just now building itself in may ways. So the designers are not really at the leval they deserve to be (or know how too) right now. I am really trying to hard to build a standard protocal for us, and to teach them along the way too. Even things like me requesting a rate card was a new thing for them.

    So because of this I have decided to create the agreement ourselves to build this practice up and to make sure everyone is treated the correct way. Thank you :)
  • The process is different for everyone. However, yes - there should always be a contract and yes some money will usually be required upfront. I take 50% upfront from local clients (more from international clients), some others just take 100% upfront. Both setups are very normal.

    A professional designer should have this all in place so that if/when you do get in touch, they'll be able to tell you what they require from you.

    Generally, my process once I get an enquiry is this:

    Initial contact > More information > Agreement/contract + initial payment > Start of project

    Sometimes there's some contract negotiation needed, others the project needs more fleshing out before it can start. But generally that's how it goes for me, be it with clients or people working with a client.
  • Hi Brandie, it's good to get some sort of loose agreement just so you both know what's going to be delivered for what cost, what time and what you need to supply. I ask for 50% upfront from new clients just so I can be confident in focusing on the design knowing the client is legit and will pay at the end. Just remember that when you're working with a designer that they mainly like to focus on the design, although they probably have other skills through experience. If you work with an agency they have different people working on different parts of the project (copy writter, branding etc) but as a designer is one person you more you can work together on a project the better result you will get.
