What does a Resource Coordinator do at Hogarth?
Our Resource Coordinator will be responsible for managing team allocation, resourcing new freelance talent and studio bookings within Hogarth Studios. This will directly involve management of bookings in such a way which considers both client and operational needs, allowing end to end delivery in a cost & skill efficient way. The Resource Coordinator needs to be able to give sound advice on the appropriateness of bookings and resources and always be able to negotiate and offer alternatives. This person must be able to provide immediate response to queries and supply accurate information about staff & facilities accordingly.
Coordinate and schedule all photography, video, and studio work requests from multiple production departments. Ensure efficient, fair, and cost-effective allocation of internal and external talent resources.
Manage the studio diary using internal scheduling software (Farmerswife) to ensure all shoot projects are correctly allocated with the necessary team and studio space.
Collaborate closely with producers to keep them informed about allocated resources. Facilitate communication between producers and the internal team, adjusting shoot schedules to maximize production capacity.
Proactively identify and flag potential resource or workflow challenges.
: Source and book freelancers with relevant, high-quality skills as needed. Negotiate freelancer rates according to company standards and shoot budgets.
Handle freelance contracts, insurance, IR35 checks, and ensure all relevant legal procedures are correctly completed. Onboard all new freelance talent.
Prepare Purchase Orders and other financial administrative tasks for freelancers and vendors. Track and report freelancer spend and expenses each month.
Use the digital system (Smartsheet) to ensure the studio tracker runs smoothly and bookings are clearly visible.
Attend regular meetings with the Production and studio team to ensure the smooth running of the studio.
Reporting lines and key stakeholders
This role reports to the Senior Studio Manager.
You will work closely and operate under the Hogarth Studios team, based in Old Street.
Previous experience in bookings or resource management.
Experience with industry-standard scheduling software packages; familiarity with Smartsheet and Farmerswife is desirable but not mandatory.
Strong understanding of legal policies, including IR35, public indemnity insurance, and public liability.
Good working knowledge of production processes and services.
Excellent time management skills and multi-tasking abilities.
Exceptional attention to detail.
Ability to adapt to new working methods and technological advances.
Experience with Yuno Juno is an advantage, but experience with other systems will also be considered.
Excellent communication skills and a team player, able to form good working relationships with producers and other internal team members.
Positive attitude towards problem-solving and meeting tight deadlines.
Availability to work on-site 4-5 days a week.
